Short answer: if invoices, password resets or replies from your domain land in Gmail or Outlook junk folders, the cause is usually missing or misaligned SPF, DKIM or DMARC, a reverse DNS (PTR) record that does not match the sending server, or a sending service that is not covered by your records. Signs this is your problem
- Customers say your messages are in their spam or junk folder, or never arrive.
- Gmail shows a “Be careful with this message” banner, or bounces mention
550 5.7.26(unauthenticated sender) or550 5.7.515(Outlook high-volume sender rules). - Our email deliverability test shows SPF, DKIM or DMARC as fail, none or not aligned.
- You send from more than one place (your server, Microsoft 365 or Google Workspace, a newsletter tool, a billing system) and only some of them are authenticated.
- Your SPF record has more than ten DNS lookups, or you have two SPF records on the same domain.
What we do
- Read the headers of a real message you sent, so we work from what receivers actually see rather than guesses.
- List every service that sends as your domain and check which ones pass SPF and DKIM, and whether they align with the From address.
- Write one valid SPF record (merged, under the ten-lookup limit), enable DKIM signing on your server and each sending service, and publish the keys.
- Publish a DMARC record with reporting. We start at
p=noneorp=quarantinedepending on what the reports can safely support, so legitimate mail is not rejected. - Check reverse DNS and the HELO name of your mail server. If only your host can change PTR, we send you the exact request to give them.
- Send a fresh test message and confirm SPF, DKIM and DMARC pass and align, and that our email test scores 9/10 or better.

If part of the score depends on something only your provider can change, such as reverse DNS, we tell you exactly what to ask for. If the paid scope cannot be delivered, the undelivered part is refunded under the refund policy.
Why authentication matters more now
Google and Yahoo have required SPF or DKIM on all mail, and SPF, DKIM and DMARC alignment for bulk senders, since 2024. Microsoft started rejecting non-compliant high-volume mail to Outlook.com addresses with 550 5.7.515 in 2025. Small senders are affected too: a domain without DKIM and DMARC is easy to spoof, and receivers trust it less. One missing record on a second sending service, such as a helpdesk or invoicing tool, is enough to push those messages into junk while everything else looks fine.

- For DKIM on your own server: a temporary panel login or SSH key. Never send passwords by email or in the order form.
- One recent message that went to spam, forwarded as an attachment, if you have one.

Frequently asked questions
Will this guarantee my email reaches the inbox?
No one can guarantee inbox placement, because Gmail and Outlook also judge content, sending volume and how recipients react. What we guarantee is the technical part: SPF, DKIM and DMARC passing and aligned for the services in scope, with our email test at 9/10 or better, or a refund for the part we could not deliver.
Do you need my DNS password?
No. In most cases we send you the exact records to add, or you add us as a user on your DNS provider and remove us afterwards. Never send passwords by email or in the order form.
We use Microsoft 365 and a newsletter tool. Is that covered?
Yes. The fix covers up to three sending services for one domain, for example your web server, Microsoft 365 or Google Workspace, and one newsletter or billing tool.
Will DMARC block my own mail?
Not if it is rolled out in the right order. We only move to a stricter policy when your legitimate senders pass, and we tell you when it is safe to move from p=none to quarantine or reject.
How long does it take?
Usually one to two business days from when we have DNS access or a contact who can add records. DNS changes can take a few hours to be visible everywhere.
